Job Description

Our client, a global private equity firm, is looking to hire an Executive Assistant to provide support to a high-level Managing Director, Partner and the team of 8-10. The successful candidate must have at least 5+ years of experience in a financial institution or other corporate business setting. The ideal candidate should be smart and dynamic and should thrive in a fast-paced environment. This person will be working alongside other EA's at the firm, so candidate must have a great team work mentality. The ideal candidate should be able to thrive on a busy team, work well under pressure and be detailed oriented and pro-active. This is a great role for a career admin who is looking to find their next home for many years to come. There is no Receptionist at the firm, so someone who is comfortable pitching in with Receptionist duties is required.  This role is Monday-Thursday in-office with availability to go in on Friday's, as needed. 

RESPONSIBILITIES
  • Schedule meetings and rearrange any conflicts
  • Manage and book travel arrangements for Executives including flights, hotels and dinners
  • Maintain their calendars and keep key people apprised of changes
  • Submit expense reports 
  • Keep Executives organized with meeting materials and immediate priorities (who needs what by when); this may include inbox management and communication/response strategies
  • Coordinate with peers on the Admin team
  • Ad hoc personal projects as needed
  • Greet guests for team and show them to conference rooms (there is no Receptionist, so someone who is comfortable handling those tasks, as needed).
QUALIFICATIONS
  • 5-10 years executive assistant experience in a fast-paced environment 
  • Proven ability to collaborate in an administrative team environment
  • Proactive, forward-thinking
  • Ability to manage up
  • Exceptional judgment
  • Excellent written and verbal skills
  • Expert knowledge of Microsoft Office applications (Word, Excel, Outlook)
HOURS
9:00am-5:30pm. Monday-Thursday in-office with availability to go in on Fridays, as needed

SALARY
$125-135K + Discretionary Bonus + Excellent Benefits
